Involve stakeholders and affected parties at an early stage
Whether a change project meets with resistance or support depends, among other things, on how early those responsible inform stakeholders and those that will be affected. The stakeholders are all the employees whose actual work will change as a result of the AI implementation; in addition, all employees are actually affected, because a major innovation often brings about changes in other areas as well. It is therefore important to allay any fears and uncertainties among the workforce. This requires transparent information about goals and procedures. The same also applies to customers: They should learn in good time where AI is being implemented and understand what advantages this offers them.
Creating clarity and managing change
Everyone in the company should be aware that some things will be different when AI is used for processes and controls them. For example, data may have to be available in different formats in the future, or the outcome may have to be prepared differently than before. In practice, it has proven effective to accompany such changes with change management. This includes measures for controlling, monitoring, and adjusting. Accompanying change communication provides support because everyone feels informed and involved.
Apply proven methods and expertise
Numerous tools are available to maintain an overview in all phases of planning: from checklists to project management software. Agile methods have proven themselves to be successful here: Those who want to ensure that the AI implementation leads to the desired goals can use design thinking, for example. This method promotes the creative development of new ideas and leads to solutions that are convincing from the customer's point of view.
Since an AI implementation is not a cookie-cutter project, it is also advisable to bring experts on board in good time who are familiar with the technology – because despite all the "soft" preparation, planning the technical implementation naturally also requires "hard" expertise.
